Privacy Policy

Last updated: August 29, 2026

1. Introduction

Playi LLC ("Playi," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use Playi, our AI agent for football coaches, and related services.

Service area: Playi is offered to users in the United States. We do not target or market the Service to residents of the European Economic Area, the United Kingdom, or Switzerland, and we do not offer the Service there. See Section 14.

2. Information We Collect

2.1 Account Information

  • Email address and display name (required for account creation)
  • Profile information you choose to provide, including your coaching role
  • Authentication data from OAuth providers (Google)
  • Team membership and team join codes, where you use team features

2.2 Playbook Data

  • Plays, formations, routes, and playbook organization you create
  • Decision trees and game day materials
  • Notes, tags, and annotations on plays
  • Video attachment metadata (URLs and timestamps)

2.3 Files You Upload

You can upload files to the Service. These are stored in access-controlled cloud storage and include:

  • Play video files
  • Reference images and PDF documents
  • Team logos
  • Exported and rendered assets, including document and spreadsheet formats
  • Spreadsheet and CSV imports, including exports you generate from third-party platforms such as Hudl

You control what these files contain. See Section 12 regarding information about minors.

2.4 Voice and Audio

If you use voice or dictation features, audio captured from your microphone is sent to our third-party AI provider for real-time speech processing and transcription. Playi does not store raw audio recordings on its own infrastructure. The resulting text may be processed and stored as part of your plays, prompts, or chat history.

2.5 Usage and Diagnostic Data

  • Information about how you interact with and use the Service
  • Device, browser, network, and general location information
  • Performance, error, and security information

2.6 Feedback You Submit

When you submit feedback or a bug report through the Service, the content of that submission, along with your account identifier, is transmitted to our issue-tracking provider so we can respond to it. Do not include information in feedback that you do not want shared with that provider.

3. AI Features and Data Usage

Playi uses third-party artificial-intelligence providers to power play generation, editing, analysis, chat, and voice features.

3.1 What We Send to AI Providers

  • Your text prompts, chat messages, and commands
  • Current play state (formations, routes, player positions)
  • Defensive look configurations for analysis
  • Playbook and knowledge context relevant to your request
  • Reference images or documents you attach to a request
  • Audio, where you use voice or dictation features

3.2 AI Service Providers

Your inputs are transmitted to third-party AI service providers as needed to return a result to you. We use commercial services whose terms restrict use of submitted data and require appropriate confidentiality and data-protection measures.

3.3 Improving and Training Our Models

We use information you provide and generate through the Service (including your prompts, plays, formations, playbooks, and how you interact with Playi) to operate, maintain, secure, and improve the Service, and to develop, train, fine-tune, and evaluate our own football models and features. We do not sell your content, and we apply access controls and confidentiality measures to protect it.

De-identification before training. Before your content is used to develop or train a model, we strip the information that ties it to you or your program. That includes your account and team identifiers, display name and email, team names, logos, opponent and school names, roster and athlete information, uploaded files, and the free-text names, terminology, and notes you write on plays. What remains is the structural football content: formation geometry, route shapes, assignments, and coverage relationships.

Our commitment. We take reasonable measures to ensure de-identified data cannot be associated with you, your team, or your program. We publicly commit to maintain and use that data only in de-identified form, and we will not attempt to re-identify it except to test that our own de-identification is working. We contractually require anyone we share it with to do the same. We also take measures intended to prevent our models from reproducing any single program's playbook or proprietary terminology back to another user.

How to object: Playi does not currently offer a self-serve setting to opt out of this use. If you do not want your content used to develop or improve our models, email privacy@playi.app and we will exclude your account. We will confirm when the exclusion is in place. De-identified data already incorporated into a trained model cannot be retroactively extracted from that model.

4. Data Storage and Security

4.1 Cloud Storage

  • Data is hosted by reputable third-party cloud infrastructure providers, encrypted at rest and in transit
  • Row-level access controls are enforced at the database layer so you can only access your own data and data shared with your team
  • Your data stays synchronized across your devices

4.2 Local Storage

For users not signed in, playbook data is stored locally in your browser. That playbook data remains on your device and is not transmitted to our servers. Analytics described in Section 11 may still be collected.

4.3 No Guarantee, and Breach Notification

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach of security affecting your personal information, we will notify you and any required regulators in accordance with applicable state breach-notification law.

5. Payment Processing

Payments are handled by a third-party payment processor. We do not store complete payment card details. The processor handles payment information under its own privacy terms and its agreement with us.

6. Data Sharing and Service Providers

We do not sell your personal data. We share data only with:

  • Service Providers: Vendors that provide services on our behalf, such as hosting, storage, authentication, artificial intelligence, payments, communications, analytics, diagnostics, and customer support. They may process personal information only to provide those services, subject to contractual confidentiality and data-protection obligations.
  • Your Team: If you join or create a team, your display name and shared playbook content are visible to other members of that team
  • Legal Requirements: When required by law, subpoena, or valid legal process, or to protect our rights, safety, or property
  • Business Transfers: In connection with a merger, acquisition, or sale of assets, subject to this Policy

7. Content You Make Public

Some Playi features publish your content beyond your account. This is always the result of an action you take.

  • Community library: If you publish a play to the community library, the play and your profile display name become publicly visible to anyone, including people without a Playi account. Your email address is never published.
  • Share links: If you create a share link for a play, anyone who has the link can view that play without signing in. Treat share links as public.
  • Choose your display name accordingly. If you do not want your real name attached to public content, set a different display name in Settings before publishing.

You can unpublish a play at any time. Content that was public may have been copied, cached, or indexed by third parties while it was public, and we cannot retrieve those copies.

8. Google Workspace Integration

If you choose to connect a Google account, we request only the access needed for the features you enable:

  • drive.file to create and manage only the specific Drive files you open with or create through Playi
  • calendar.calendarlist.readonly to list your calendars
  • calendar.events to publish Playi schedule events, show Google Calendar events as an overlay, import events you choose, and resolve linked-event conflicts
  • openid and email to confirm which Google account you connected

Limited Use: Playi's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not use it to train generalized AI models. Playi stores your Google refresh token encrypted at rest so the features you enable can keep working without asking you to reconnect each session; short-lived access tokens are requested as needed. You can disconnect your Google account at any time in Settings, which revokes our access and removes the stored connection credential.

9. Your Privacy Rights

Depending on your state of residence, you may have the rights below. Playi extends these rights to all US users regardless of state.

9.1 Your Rights

  • Know and Access: Learn what personal information we collect, use, and disclose, and request a copy of it
  • Correct: Correct inaccurate personal information
  • Delete: Request deletion of your account and personal information
  • Portability: Receive your data in a portable, machine-readable format
  • Opt Out of Sale or Sharing: We do not sell your personal information and do not share it for cross-context behavioral advertising, so there is nothing to opt out of
  • Non-Discrimination: We will not deny service, charge a different price, or provide a lesser quality of service because you exercised a privacy right

9.2 How to Exercise Them

Playi operates exclusively online. To exercise any right above, email privacy@playi.app from the address associated with your account. We will verify your identity by confirming control of that email address, and we will respond within 45 days. If we need more time, we will tell you why and may extend by an additional 45 days as permitted by law. There is no charge for a reasonable request.

9.3 Deletion and Export Today

You can export your playbook data yourself at any time from Settings, which downloads your plays and playbooks as a JSON file. Full account deletion and full account export are currently handled by request at privacy@playi.app rather than by a self-serve button. We are building self-serve controls for both. Cancelling a paid subscription in Settings stops billing but does not by itself delete your account.

9.4 Authorized Agents

You may designate an authorized agent to make a request on your behalf. We may require written proof of the agent's authority and may still verify your identity directly.

10. Data Retention

We retain your data while your account is active. Upon a verified deletion request, we remove your personal data from our production systems within 30 days, and from routine encrypted backups within 90 days as those backups age out. We may retain limited information where required by law or for legitimate business purposes such as fraud prevention, tax and accounting records, and resolving disputes.

Usage and diagnostic data is retained only for as long as reasonably necessary to operate, secure, analyze, and improve the Service, after which it is deleted or de-identified, subject to the legal and business exceptions above.

What survives deletion. De-identified football data derived from your content, prepared as described in Section 3.3, is retained indefinitely and continues to be used to improve the Service. Because that data has been stripped of the identifiers linking it to you, your team, and your program, it is no longer personal information and is not returned or deleted in response to a deletion request. Your account, profile, files, uploads, rosters, team information, play names, and written notes are deleted. Anything you published to the community library is unpublished and removed from public view.

11. Cookies and Analytics

We use cookies, local storage, and similar technologies to operate, secure, analyze, and improve the Service. We do not use this information for third-party advertising.

11.1 Cookies and Local Storage

We use strictly necessary cookies and browser local storage for authentication and session management. We may also use non-essential technologies to understand use of the Service and improve its reliability and performance.

11.2 Usage and Diagnostic Information

The information described in Section 2.5 may be associated with your account or device. We use it to provide the Service, measure its use and performance, troubleshoot problems, prevent abuse, and improve our products. Service providers may process this information on our behalf for those purposes.

11.3 Your Choices

Most browsers let you block or delete cookies through their settings. We also process legally recognized opt-out preference signals as required by applicable law. You may contact privacy@playi.app with questions or requests about this processing.

12. Children's Privacy and Player Information

12.1 Account Holders

Playi is intended for coaches and other adults. It is not directed to children under 13, and we do not knowingly permit anyone under 13 to create an account or collect personal information from them. If you believe a child under 13 has created an account, contact us and we will delete it.

12.2 Information About Players

Coaches may upload rosters, spreadsheets, film exports, or notes that contain information about athletes, and those athletes may be minors. Playi processes that information solely as a service provider to you, at your direction, in order to provide the Service. We do not use it to build profiles of athletes, we do not sell it, and we do not use it for advertising. You are responsible for having the authority and any parental or school consent required to put that information into Playi, and for complying with FERPA, state student-privacy laws, and your school or league policies. Do not upload athlete medical records, Social Security numbers, or other sensitive personal information.

13. Do Not Track and Global Privacy Control

Where required by applicable law, we recognize and process opt-out preference signals, including Global Privacy Control. We do not sell personal information or share it for cross-context behavioral advertising. Legacy browser "Do Not Track" headers are not standardized, and we do not rely on them.

14. Geographic Scope

Playi is operated from the United States and is intended for users located in the United States. Your information is processed and stored in the United States. We do not offer or market the Service in the European Economic Area, the United Kingdom, or Switzerland, and this Policy does not purport to provide rights under the EU or UK GDPR. If you access the Service from outside the United States, you do so on your own initiative and are responsible for compliance with local law.

15. Changes to This Policy

We may update this Privacy Policy periodically. We will revise the "Last updated" date above, and we will notify you of material changes via email or in-app notification before they take effect. Continued use after changes take effect constitutes acceptance.
